Why do I have a unique link or token to access my survey?
Firstly, it is important to note that AskYourTeam is an external company that provides an independent software solution designed to protect the confidentiality of participant responses. We take this very seriously.
There is also an important distinction between the confidentiality of your responses and the confidentiality of your use of the AskYourTeam system.
Yes, it's true each survey has a unique code for an individual taking a survey. But we only use this code to:
- Monitor if a person has completed the survey yet. If not, we can provide automated reminders to complete the survey
- Calculate participation rates. This is important to help understand the overall success of the survey
- Reset a survey if someone wishes to complete their survey again after submission
- Prevent people taking a survey multiple times to influence results
Using a single, generic link means we cannot provide any of the above services.
NOTE: Once you complete the survey, the survey link expires. No one, not managers, co-workers or AskYourTeam staff can use the invitation link to see your individual results.
It is also important to note you should not forward your email or text message invitation to other people to complete the survey. If they complete the survey on your behalf, you will no longer be able to use the link and provide your responses.
Mandatory minimum responses to generate a report
With the exception of on-boarding and exit surveys, our system is designed so that reports do not display any response data when the number of responses is fewer than 5. (We can make an exception for very small organisations to a minimum of 3). In either case, an individual's responses cannot be viewed on their own and will only be included in reports as an aggregate.
Example
Joan is a Team Leader and has a team of 7 staff. 6 complete the survey. There are 3 males and 3 females that completed the survey.
In this case, Joan as a Report Viewer will be able to see the results for her team across 6 team members.
If Joan tries to filter the responses to view 'Males' only (in this case 'Gender' is a survey demographic), no results will be displayed as the number of male responses is 3, below the minimum threshold of 5 to produce reports.
