How to sync AskYourTeam with your BambooHR data

Introduction

The AskYourTeam - BambooHR HRIS integration allows you to import data from BambooHR into AskYourTeam on a regular schedule. You can see updates from your BambooHR in AskYourTeam without manual intervention such as:

• Creation of new users

• Updates to user information and demographic information (i.e. change in manager, department, etc.)

• Deactivations of users who have left your organisation

If you import data for a user whose demographic data is not in your AskYourTeam library yet, our platform will create that demographic category for you. For example, if you import users for the Finance department, but don’t have that department established in AskYourTeam, the department will be created based on that value specified in BambooHR

Security

Data sent to AskYourTeam via the BambooHR integration is stored at rest on an encrypted volume (AES-256). All data is encrypted using SSL/TLS. This allows clients to authenticate the service and protects the API credentials and transmitted data.

Setup

Step 1 - Create an API Key in BambooHR

To create your API Key:

1. Log in to BambooHR as the user account that you wish to use for the key creation
2. Click on the Profile image in the top right corner of the window
3. Select API Keys
4. Select 'Add new key'
5. Copy the value of the API Key created which will be in the form of: 4c1921dd8a08fg404291e22143ugqrtf6726671d

Step 2 - Configure the integration in AskYourTeam

In order to configure the integration you will need:

• Subdomain of your BambooHR account
• API Key - created in the previous step

To find your Subdomain open BambooHR and look at the URL at the top of your browser. Your account name will be displayed as {myorg}.bamboohr.com

2.1 Within AskYourTeam click on the "My Organisation" on the left menu and select Integrations

2.2 Click on the connect button in the BambooHR container

Enter your subdomain and API key and click on the "connect and sync" button

Step 3 - Syncing and verifying your data

After clicking the Connect and Sync button, AskYourTeam will start connecting to BambooHR and syncing your people data. This process can take up to 2 minutes the first time so please be patient.

When the sync process is complete you will be redirected to a confirmation page which will display all of the changes that are going to be made to your participant library in AskYourTeam. This is the same verification process as if you were uploading users via the File Import process.

Note: No data will be imported until you click ‘Import’ button. 

Step 4 - Handle any participants not in your BambooHR system.

If you have participants in your AskYourTeam library who are not in your BambooHR data you will be prompted as to how AskYourTeam should handle this data. You have the option to either:

• Keep them in my library
• Delete them from my library

Click on the continue button to complete the import process.

Auto & Manual Imports

Your account is now configured to sync with BambooHR automatically on a daily basis. You also have the ability to manually sync your data within your participant library by clicking on the 'Import from BambooHR' button
