How to avoid email spam filters
Set up your survey for success by making sure important email communications don’t end up in the spam folder.
AskYourTeam uses DomainKey Identified Mail (DKIM) and Sender Policy Framework (SPF) verification to deliver our emails to your organisation’s email addresses.
If your organisation already uses this strategy, you don’t need to take any further action.
If your organisation isn’t using this strategy, you might need to add AskYourTeam to your Allow List (also called the Approved or Safe Sender list). This will identify us as a trusted sender.
Use the following step-by-step instructions to add us to your Allow List.
Step 1: Add AskYourTeam to your Allow List
To add AskYourTeam as to your Allow List, provide the following details to your system administrators:
Emails from AskYourTeam will come from notifications@askyourteam.com
- Emails sent from this address include survey invitations, reminders and invitations to view reports.
- The name the email is from will include your organisation name. For example, Organisation Name via AskYourTeam.
💡 Did you know? You can change the name the email is from to something other than your organisation name. This can be done when you're creating the survey. If you choose to do this, please let your system administrators know.
Emails will be sent from the following IP addresses:
- 69.169.234.178 with a net mask of 255.255.255.255 or a CIDR block of 69.169.234.178/32
- 69.169.234.179 with a net mask of 255.255.255.255 or a CIDR block of 69.169.234.179/32
Remember to check your inbound email concurrency threshold. This threshold is usually adjustable in your SMTP server or email provider settings. This should be checked to allow the expected number of emails for the number of participants in your survey.
Emails are sent in batches, however some systems have a threshold on the number of emails allowed through at once. If possible, this threshold should be increased for our IP address prior to publishing the survey.
Step 2: Check your email settings work
Once you’ve added AskYourTeam to your Allow List, we’ll work with you to check that your firewall (network security system) and email software allows our emails to get through to your participants.
We will do this by sending a test invitation email to you. This will confirm if your email settings work as expected.
