How participant limits work

A participant limit is how many people that can participate in your survey. Your AskYourTeam subscription is based on this number.

For example:

If your participant limit is 2000, you can survey up to 2000 participants.

But if you want to run a survey with more than 2000 participants, you will need to increase your participant limit.

Account Managers and Account Administrators can find the participant limit:

  • on the AskYourTeam home dashboard when logged in, or

  • under My Organisation> Manage subscription.

What happens if you go over your participant limit?

You can continue to add participants to your library past your participant limit, but you won't be able to survey them all.

For example:

If your participant limit is 2000 but you have 2500 people in your library, you can only add 2000 people to a survey as that is your participant limit.

If you want to run a survey for everyone in your library, you would need to increase your participant limit to 2500. You would be unable to publish your survey until this has been done.

How to increase your participant limit

You can increase your participant limit at any time:

You will also be prompted in the system to increase your participant limit when your participant library:

  • reaches 75% of your limit, and

  • exceeds your limit.

If you're a key contact for your organisation, you will be able to select the link on any of these in-system prompts to increase your limit. You will also be notified by email if your organisation is nearing or has exceeded its limit.

Per year participant limits

Some surveys have a per year participant limit.

Those surveys are:

  • onboarding

  • offboarding

  • ongoing surveys.

Per year participant limits reset each year.

For example:

If your participant limit is 2000, this means your onboarding survey will have a participant limit of 2000 per year.

If you want to survey more than 2000 participants within this period, you will need to increase your participant limit.
