After importing your participants file successfully, you will see the Import Confirmation page. This will provide you a breakdown of the participants and information that will be imported into the system. 

 

Date of Birth Updated

We found participants who are currently in your Participant Library but have changed their date of birth,  they will have their date of birth updated with this import. 

 

Demographic Categories Added

Demographic categories are automatically created from the headers contained in your file. This information card shows the number of new demographic categories that will be added to your Demographic Library.

 

Demographic Options Added

Demographic options are added to demographic categories based on the unique values for each participant. This information card shows the number of new demographic options that will be added to your Demographic Library.

 

Demographic Options Updated

This will information card will show when there are new Demographic Options being added to an existing Demographic Category.

E.g. Since your last import there is a new Department called Finance and two participants in your import file have this option set as their Department. As 'Department' already exists in your Demographic Library, the system will see that Finance is a new option (not currently in your Demographic Library), and will added this for you.

 

Email Updated

Participants who are currently in the system but will have their email address updated.

 

Existing Participants Found

This is the number of participants that we found in both your import file and your Participant Library.

 

Languages

This will show the total number of languages that participants have set as the default language to take surveys in.

 

Mobile Number Updated

The system has found participants who are currently in your Participant Library but have changed their mobile number,  they will have their mobile number updated with this import.

 

Name Updated

We found participants who are currently in your Participant Library but have changed their name, they will have their name updated with this import.

This can occur when someone has recently married and changed their surname.

 

New Participants Added

The number of new participants that are being added to your Participants Library. If this is your first import, this number will be the same as your import file.

 

Participants Imported

This will show the total number of participants in your file that will be imported into the system.

 

Participants Not Found in File

This card shows the number of Participants that were found in your Library, but are not included in the file you are importing. If you continue with the import, you will be prompted to confirm keeping or removing these participants from your library.

If you choose to KEEP these participants, they will remain in your Participant Library.

If you choose to REMOVE the participants that are not in your import file, these participants will be removed from your Participant Library.

You would remove participants in two situations:

  1. When you have an up to date list in your import file and you simply want your library to be the same as your import. So you are deleting anyone that is no longer part of your organisation.

  2. When you have passcode participants without an ID. 

NOTE: If you have passcode participants without an ID, these are treated differently to those with unique identifiers (ID, email, mobile). 

When importing a file with passcode participants and no ID, the import process cannot differentiate between those currently in your Participant Library, and those being imported. If you choose to keep these participants, both those passcode participants in your library and your import file, will be retained - this could result in duplicate records.

If you choose to remove these, those already in your library will be removed, and those in your import file will be imported to your library.

 

Passcode Participants

The number of participants that do not have an email address or mobile number that will have a 12-digit passcode generated to allow them to take the survey.

 

Start Date Updated

We found participants who are currently in your Participant Library but have changed their start date,  they will have their start date updated with this import. 

 

The import flow will take you through the following steps:

Import file -> Import Validations -> Import Errors -> Import Confirmation -> Participant Library
