How to Communicate

It is crucial to ensure that the relevant individuals in an organisation are clearly communicated with before the commencement of the survey. This helps improve participation rates. 

This will depend on your organisation's preferred communication channels, so think about what channels will get the most exposure to your communication for all participant groups.

Different forums can be utilised, including;

  • Emails from the CEO / GM / MD

  • eNewsletters

  • Slack, Microsoft Teams, Yammer and similar internal chat channels

  • Your intranet

  • Posters

  • Team meetings / briefings

  • Question and Answer sessions

Answer common questions

In your communication, make sure you answer the most common questions participants tend to have. These include;

  • Why is the survey being run?

  • What is different from past surveys?

  • Why their feedback is important?

  • How the feedback will be used?

  • When will the survey be published and when will it end?

If there are possible issues with confidentiality and trust in the process, include information about how their identity is confidential and there is no way to link results.

How to enhance the survey participation process

Many of our customers provide incentives to complete the survey to encourage survey participation. Examples include

  • leave a kitkat on each persons desk with a note encouraging them to take a break and complete the survey

  • prizes for highest team % response rate

  • prize draws for participants that complete the survey

  • Host a barbeque or team morning tea and have people take a few minutes while they're together to complete a survey
