Types of user roles
Understanding AskYourTeam user roles is essential for managing your organisation's account. With four roles to choose from, you can give users permission to access and interact with specific parts of the system.
The roles are:
- Account Manager
- Account Administrator
- Survey Administrator
- Report Viewer
- Action Contributor
Let's explore each role and their access levels.
Account Manager
This is the role with the greatest access to your AskYourTeam account.
The Account Manager role allows the user to:
- edit organisation details (like logo and brand colour)
- add users and edit user settings
- set Report Viewer Permissions
- create and manage surveys
- view results for all surveys.
💡Have you assigned a key contact? A key contact is the main point of contact for your organisation’s account. They’ll receive important updates about new features, system maintenance, and account optimisation.
You can assign more than one key contact, and we recommend choosing someone with the Account Manager role, as they have the broadest access rights. To assign a key contact, just tick the box when creating the user.
Account Administrator
The Account Administrator role is similar to the Account Manager role, but slightly more restricted.
Account Administrators can only:
- edit organisation details (like logo and brand colour)
- add users and edit user settings
- create and manage surveys.
They can't:
- view results for any surveys (even if they created them)
- set Report Viewer Permissions.
Survey Administrator
The Survey Administrator role allows the user to access specific surveys and results.
Survey Administrators can:
- create their own surveys and view results for those surveys
- be added as a Report Viewer to a survey they didn't create or manage.
Report Viewer
The Report Viewer role allows the user to view results for selected surveys only. They have no administration rights.
Most of the time, you will assign a Report Viewer in the permissions section of a specific survey. When this happens, they'll be automatically added to the Users section.
If the person is external to your organisation however, you will need to add them in the Users section first before you can assign them to a survey.
Action Contributor
The Action Contributor role is the most restricted. When they log into AskYourTeam, the only item they can see and access in the left-hand menu is Actions.
Action Contributors can only:
- see actions they have created or been assigned.
- create actions and assign them to others
