Participant Library

A 'participant' is anyone you want to add to your surveys. Participants for your organisation are managed within the Participant Library including importing new or updated participant information, editing or deleting participant information.

When creating a survey, you will add people to your survey from the Participant Library.

Import Participants

Participants can be imported from a .csv or .xlsx file. For more information on importing participants, click here.

Create new participants

To add a new participant:

  1. Click Add Participant

  2. Double click a cell to enter the participant's information - name, ID, contact info etc

    • First and Last names are mandatory.

  3. Add relevant demographic options for as many categories as possible

If a demographic category or option is not available, you will need to create this in the Demographic Library before associating it with the participant.

NOTE: It's strongly recommended you ensure all demographic categories are populated for all participants in your library. This helps provide more accurate reporting.

Edit participants

Search and filter functionality is available to easily find the participant or participant group you would like to edit.

To edit a participant:

  1. Double click in the cell to edit for the participant

  2. Making edits:

    1. If editing free text, start typing to make the change

    2. If editing a demographic option, select from the relevant option from the drop down (or date picker for dates)

    3. To remove an option, click the cell to change, hit delete on your keyboard

  3. Click out of the box, or hit enter to save

If a demographic category or option is not available, you will need to create this in the Demographic Library before associating it with the participant.

If the participant is part of a survey, the survey status will decide how this is updated:

  • Active surveys - changes will be applied to the survey(s)

  • Draft/Pending surveys - changes will be applied to the survey(s)

  • Closed surveys - changes won't be updated in survey(s) - to make this change on a closed survey, navigate to survey and update under Survey Settings

Note: When working within the participant table, it might be useful to pin the first and last name columns so you are able to see who the demographic information belongs to.  You can pin a column by hovering over the column heading and clicking the pin icon.

Delete participants

Search and filter functionality is available to easily find the participant or participant group you would like to edit.

To delete a participant:

  1. Find the participant to delete

  2. Select the "-" icon to the left of the participant record

NOTE: this will not remove the participant records from surveys they have previously completed and will not remove their responses from closed surveys.

Deleting a participant will remove them from the participant library and any draft or pending surveys.

To remove a participant from an active survey (if they have completed the survey or not), this needs to be done within the Survey Settings

Editing participant demographics in Survey Actions

When editing participant demographic information on a survey, this will populate back to the Participant Library.

  1. Navigate to the Survey Actions page.

  2. Find the participant to be updated

  3. Edit the demographic option then Save

If the participant has already completed the survey, you will be prompted whether to update the participant's record in the Participant Library. If Yes, the participant's record will be updated in the survey and Participant Library. If No, the participant's record will only be updated in the survey.

If the participant has not completed the survey, the participant's record will automatically be updated in the Participant Library.

Unsubscribed participant

When a participant has unsubscribed from receiving survey invitations from your organisation, you will see a Unsubscribed label next to their name in the Unsubscribed? column.
