Over Time Report

The Over Time report is designed for ongoing surveys (surveys with no end date). These surveys gather feedback continuously rather than at a point in time, so they need reports that can help identify emerging trends. For example, participants 12 months ago might have scored leadership questions higher than participants 1 month ago.

This is what the Over Time report helps with.

It is available for the following surveys:

  • Onboarding Over Time
  • Onboarding Week one
  • Offboarding (Exit)
  • Build Your Own
  • Residents and Ratepayers Voice

You must enable ongoing survey mode in the survey settings for the Over Time Report to show in your reporting suite. This setting can be enabled at any time, regardless of your survey status.

Use the toggles to change the data

You can use toggles at the top of the Over Time Report to adjust what data is shown.

There are 3 main toggles:

  • Average score: This shows the average survey score over time. This is based on the Agree-Disagree scale questions in the survey.
  • Category: This shows the average score for a question category over time. You can choose to view all categories or to drill down to specific ones. For example, Culture or Leadership.
  • Question: This shows the average score for a specific question over time.

Once you've made your selection, you can also apply a second set of toggles to view data by different time intervals (like Day, Week, Month or Quarter).

What do dotted lines mean?

Sometimes you might see dotted lines between points on the graph.

This means there is no data available for that period.

This might be because:

  • filters have been applied that are too restrictive to generate a result
  • no one has started or completed the survey during that time
  • there weren't enough results to meet the reporting threshold during that time.

What is the reporting threshold?

The reporting threshold is the minimum number of responses required to generate a report. It's usually between 3 to 5 participants (the number depends on the organisation settings). The reporting threshold is implemented to protect the participants' identity, so their answers can't be linked back to them.

Compare surveys using the Over Time Report

You can also find an Over Time Report in the Compare section of your AskYourTeam account. This allows you to compare results between 2 or more surveys.

What the axes show

  • The X axis (horizontal) shows the surveys that have been included in the comparison.
  • The Y axis (vertical) shows the score and varies based on the spread of question scores.

Using the toggles

You will still have three toggles: Averages, Categories and Questions.

  • Averages: This shows how the average survey score changes between selected surveys. The average score is calculated based on all matched Agree-Disagree scale questions.
  • Categories: Each category is shown as a line. This line shows how the average score for a question category changes between selected surveys.
  • Questions: Each question is shown as a line. This line shows how the average score for each question changes between selected surveys.

💡Did you know? You can reduce the number of questions shown on the graph by selecting 'Filter questions'. This will bring up a modal that allows you to include or exclude questions from the graph.

What happens if categories and questions don't match across surveys?

If the surveys you want to compare don't have the same categories and questions, you may see some gaps in the line graph.

For example, you want to compare responses to the question 'I feel safe to tell the truth question when it's unpopular' across 3 surveys.

  • Survey 1: Matches this question
  • Survey 2: Matches this question
  • Survey 3: Doesn't match this question

A full line can't be drawn across the entire graph, only between Survey 1 and 2. So there will be no line or point to mark Survey 3's score.
