How to export passcodes
If you've included passcode participants in your survey, you will need to provide them with a 12-digit passcode to take the survey.
To access a list of passcodes:
- Go to My surveys.
- Find your survey and check the status is Pending or Active. Passcodes are only generated once the survey reaches this state.
Select the three dots on the survey card to show the menu, then Edit. Passcodes will be listed as the step before Preview.
Select Passcodes. You will now find a list of all passcode participants for the survey, along with their unique 12-digit passcode and demographic information. The demographic information is provided to help ensure each passcode is given to the right participant.
You can export passcodes in two formats:
- Excel: Export the full list of participants and their passcodes by selecting Export Excel to the top right of the screen.
- PDF: Select which participants in the list you want to export passcodes for. Then select Email PDF to the top right of the screen. This sends a link to the email address you're logged in with. You can use it to download a PDF containing personalised passcode slips. Sometimes the email can take up to 30 minutes to arrive, so don't panic if it doesn't show up right away!
What's on the personalised passcode slip?
If you've selected Email PDF you'll be able to download personalised passcode slips you can hand out to participants.
Each slip contains the:
- name of the participant
- personalised message
- instructions on how to access the survey
- 12-digit passcode.
There is also a QR code on the slip allowing the participant to skip the instructions and go straight to the survey without entering their passcode.
To use their QR code participants need to:
- Open the camera on their phone;
- Hold the camera over the QR code;
- Select the banner that appears to navigate to the survey.
⚠️ Not all phones can use their camera to scan QR codes. In that situation, participants can try downloading a QR scanner app which will perform the same action, or they can use the passcode method.
