Report viewer access and login status
When you use automated permissions, the permissions page shows you at a glance how set-up and uptake are going. This article explains what each figure means.
What the figures mean
- People Leaders set up: how many leaders have permissions configured.
- Granted access: how many of them have had access switched on.
- Logged in since being granted: how many have actually opened the results since you gave them access.
- Never logged in since granted: how many have access but have not opened the results yet. This is highlighted so you can follow up.
Acting on the figures
- If people have not been granted access yet, tick them and use Bulk actions > Invite and enable.
- If people have access but have never logged in, use the Login activity filter to find them quickly, then send a reminder.
- Select the Filters button, then choose Login activity.
- Pick "Hasn't logged in since access granted" and apply the filter. The list now shows only the people who have access but have not opened the results yet. You can double-check anyone against the Last seen column.
- Tick the people you want to remind, then select Bulk actions > Invite and enable > Send an email invitation.
To see who is already engaged, choose "Has logged in since access granted" instead.
Note: Login activity is measured from the moment access was granted, and we only started recording that "access granted" time when this feature was released. Report viewers who were granted access before then, and older or closed surveys, have no login activity to measure against, so filtering by either option returns no results for them. This is expected, not a fault. Those report viewers still work exactly as before, and login activity will show for anyone you grant access to from now on.
