Who can access survey results?
Who can access your survey results depends on their AskYourTeam user role and permissions.
Automatic access
By default, the following roles will be able to view survey results:
- Account Managers: Your organisation's Account Manager(s) need to review results carefully and give particular attention to any free-text comments before providing access to others.
- Survey Administrator: Only have access if they created the survey. They can't see results for surveys they didn't create unless they're added as a Report Viewer.
You can override this default behaviour by switching on Remove access for other administrators in the survey settings. This toggle restricts managing and editing the survey, and viewing survey results to the person who switched on the setting. This person can still grant access to others by adding them as a Report Viewers.
Granted access as Report Viewers
Account Managers can grant others access to view the results in AskYourTeam. This is done by adding them as Report Viewers. Account Managers can set, control and edit what each Report Viewer can see.
We encourage Account Managers to give leaders access to their team's results. This enables them to go through the feedback with their team, celebrate what's working well and identify opportunities for improvement. The survey insights can then be used to inform an action plan involving all team members, allowing them to measure the impact of actions taken when the survey or key questions are retested.
When you should set up Report Viewers
Report Viewers are usually set up after the survey has closed. You can set them up earlier if you want to, but make sure not to invite them to log in until after the survey has closed. This ensures they see they don't miss any insights.
For ongoing surveys, it's slightly different. The Report Viewer will always be viewing results for an active survey.
💡Don't forget to preview. If you're an Account Manager providing access to others, make sure to preview any restrictions you've put in place to ensure they've been applied before sending them an invitation to view their results.
Examples of restrictions might be:
- allowing a leader to see results for their team only,
- excluding specific reports.
Can you grant access to somebody outside your organisation?
Yes, you can. You will need to add them as a user to your organisation first. Then, you can follow the same process of granting them access to view results.
