Automated permissions: How to make updates to reporting lines

Automated permissions allows you to generate a list of report viewers based on your organisation's structure.

It works by:

  • identifying People Leaders, and
  • giving them permission to view results for their reporting line.

It's important to remember Automated permissions are created at a specific point in time. So, if you make updates to People Leaders in your library after automating permissions, these changes will not be included in your survey.

If you want the changes to be included, you will need to go to that specific survey and confirm the change. Find out how to do this in the next steps.

Step 1: Go to your survey

Start by locating your survey:

  1. Go to Surveys in the left-hand menu.
  2. Find the survey you want to update reporting lines for.
  3. Select the three dots on the survey card.
  4. Select Permissions.
  5. Select Automated permissions.

Step 2: Look for the alert banner

When you make a change in your library that affects reporting lines, an alert banner will be displayed. You can find this above your People Leader list.

Select the link: review reporting line updates. This will open a modal with a summary of People Leader changes that affect this survey.

If it has been more than 3 months since your survey closed, your reporting lines will be locked. This is to preserve their structure at that point in time.

If you need to update the reporting lines for an old survey, please contact our Customer Success Team.

Step 3: Review and confirm People Leader updates

In the modal, you'll see names of People Leaders that:

  • have had direct reports or indirect reports added or removed (anyone ranking above this leader will also be listed)
  • no longer have direct reports

Select Update survey to apply these changes to your survey.

Updating reporting lines for your survey might take a few minutes. You can leave and come back, or work in a different section of AskYourTeam.

Step 4: Set base permissions (if required)

When the updates are complete:

  • if there are no new People Leaders, you'll see your list refresh with the changes applied
  • if there are new People Leaders, you will be asked to set base permissions first.

Is someone missing from your list? They may have been moved. If someone no longer has direct reports they'll be removed from your People Leader list. You can still find and edit their access in Manage permissions.
