Managing your Demographic Library
Your Demographic Library is where you create and store all the demographic information used in your surveys and reporting.
Demographics are organised into categories and options:
- Demographic category: A group of related demographic options, such as Location or Department
- Demographic option: The values within a demographic category. 'San Francisco' is an example of an option for 'Location' and 'Sales' is an example for 'Department'. Each demographic category must have options.
Default demographics
AskYourTeam comes with four default demographics: Age, Length of Service, Level, and Gender, to help you easily filter, compare, and analyse survey results.
Some are marked Recommended because they work with key platform features and reports. While you can view these demographics, editing options are limited to keep your data accurate and consistent.
Import or create demographics
You can add demographics to your library:
- via import, or
- by creating them in your library.
Import demographics to your library
If you've included demographic information when importing participants, those demographics and their options will be automatically added to your demographic library.
Example 1:
If 'Department' is a new demographic category and participants are imported with this information, 'Department' will be automatically added to your library.
Example 2:
If 'Marketing' is a new demographic option and participants are imported with this value, 'Marketing' will be automatically added to your 'Department' category in the library.

- When you import a new participant file into AskYourTeam, it only adds new demographic categories and options to your library; it doesn’t delete or update existing ones.
- If demographic information for participants isn’t already in your library, you can collect it during the survey, and it will sync back to your participant library automatically.
Create demographics in the library
Start by creating your category, and then add options.
How to create a demographic category
- Go to Library > Demographics.
- Select Add New Demographic.
- Enter the demographic category name.
- Select Save.
- (Optional) If you would like a different label to be displayed in surveys, you can enter one in the Survey display name field. For example, if the category name is 'Gender' the survey display name might be, 'What gender do you identify as?'. Make sure to click outside of the text box to save any changes.
How to create a demographic option
- Go to Library > Demographics.
- Select the Demographic Category to want to add the option to.
- Select Add new demographic option.
- Add name for new option and select Enter or Return.
Demographic options are displayed in alphabetical order by default. If you'd like participants to see demographic options in a different order, use the 3 lines to the left of the option to drag and drop it into a different position.
If a demographic category has fewer than 20 options, each demographic option will be shown to the user as a group of buttons they can select from.
If a demographic category has more than 20 options, the demographic options will be shown to the user in a dropdown list they can browse and select from. This is done to improve the user experience when large numbers of options are required.
Allow participants to select more than one option
If you want to allow participants to choose multiple options for a demographic:
- Go to Library > Demographics.
- Select the demographic category you need.
- Select the Enable multiple selection checkbox.
Changes made in the demographic library will only flow through to draft and pending surveys.
Editing demographics
You can update demographic category or option names (for example, to fix a typo) directly in your Demographic Library.
How to edit a demographic
- Go to Library > Demographics.
- Find the category or option you want to update.
- Select its name, make your changes, and click outside the text box to Save.
If the demographic is linked to participants, you’ll be asked to confirm the change. Once confirmed, updates apply to all draft, pending, and active surveys using that demographic.
Demographics with editing restrictions
- Closed surveys: Demographics in closed surveys can’t be updated. If you need changes to a closed survey, please contact our Customer Success Team.
- Protected demographics: These have limited editing. You can view them but can’t change names, display labels, option names, selection types, or delete them. These restrictions apply only to certain Service Review surveys to maintain important reporting structures. Learn more about protected demographics.
- Default demographics: You can’t edit their names or options, except for Gender, which does allow option edits. Learn more about default demographics.
Deleting demographics
You can delete any demographic categories or options from the Demographic Library, except for protected demographics and AskYourTeam’s recommended demographics.
How to delete a demographic category
- Go to Library > Demographics.
- Find the category you want to delete.
- Expand the category using the arrow on the right of the demographic category card.
- Select Delete. You will be prompted whether to Continue or Cancel. This prompt informs you that continuing with the deletion will remove the demographic category and all associated demographic options from all draft, pending and active surveys. Closed surveys will not be affected by the change.
How to delete a demographic option
- Go to Library > Demographics.
- Find the Demographic Category related to the option to be deleted.
- Hover over the demographic option to delete
- Select the trash can icon. You will be prompted whether to Continue or Cancel. This prompt informs you that continuing with the deletion will change any associated participant records to blank.
đź’ˇDid you know? If the participant's record to that demographic category remains blank and is not updated, it will show under the (blanks) label when using report filters.
