How to add participants to a Service Reviews (Staff) survey
You can add participants in Step 4: Participants when creating your Service Reviews (Staff) survey.
Here's how to do it.
Select participating services
Before you can add participants you need to complete the following:
- Select the demographic you want your survey to assess. This should be the demographic category that contains a full list of your council services.
- Then add the services you want to participate in the survey. You can add them using the dropdown above the table.
Add your participants
Once you've added participating services, you can add participants.
- Locate the service in the table you want to add participants for. In the example pictured, we want to add participants to Aquatics & Recreation. Participants are added by role: Service Staff, Service Leaders, Support Staff and Executives. Select the plus icon + to start adding participants.
- Bulk add participants by selecting the demographic category and option, or add them one by one by searching for a specific person.
- When you add participants, they will show in the modal under Step 3. Review who you've selected. For example, if you've bulk-added participants by demographic you might need to check through the list and remove a few people. When you're happy with your list of participants, select Save to confirm your action.
- Add the start and end date for each service's survey. Don't worry – when you publish your survey, it will not override these start dates!
Remove a participant from a survey
You can only do this if the service's start date hasn't been met (if the survey isn't active yet).
To remove a participant from a service:
- Locate the service and feedback group in your table you want to remove a participant from.
- Select the number under the feedback group to bring up the modal.
- Under the 'Review participants providing feedback' select the minus sign next to the name and select Save.

Can you add participants to an active survey?
Yes, you can.
Can you remove a service from an active survey?
No, you can't.
Can you remove a participant from an active survey?
It depends on whether they've started the survey or not. If the participant has started or completed the survey, you can't remove them. If the participant hasn't started the survey, you can remove them.
What happens if I don't have participants for a specific group? (e.g. Support Staff)
That's OK. You don't have to have participants for every group (Service Staff, Service Leaders, Support Staff, Executives). But you need participants for at least one of those groups.
Why is there an alert icon in the table?
The alert icon is a triangle icon with a ! in the middle. It is a warning that the number of participants in that feedback group doesn't meet the minimum threshold and you won't be able to view results for that group when the survey closes. You need to add more participants to resolve the alert.
