Protecting your identity
Is the survey anonymous?
The survey welcome page will tell you if the survey is anonymous or not.
If the welcome page says that your survey is anonymous, your identity is protected. This means your answers can't be linked back to you. You can feel confident and comfortable about giving your honest opinion.
We protect your identity by using:
a report threshold: Any time a survey report is generated, it must contain data from at least 3 to 5 participants (the number depends on the survey settings). Reports can't be generated for an individual.
report restrictions: Different parts of an organisation can only access data relevant to their teams, departments or sections.
Will leaving comments identify me?
If you're taking an anonymous survey, your comments can't identify you because they're not linked back to you.
However, if is possible for you to reveal who you are by what you write. So make sure not to include any identifying information, like names.
Why do you need my demographic information?
Demographic information helps organisations understand the experiences of different groups of people.
Here are some examples:
Age
Gender
Ethnicity
This information is used to make sure important insights are not missed and to ensure organisations provide an environment that supports everyone.
Check out our article on the same topic for more detailed information on why demographic information is needed and how it is used.
Saving progress, editing and exporting answers
Can I save my progress and come back to the survey?
Yes, you don’t have to complete the survey in one go. You can save your progress and come back as many times as you like during the survey period by selecting Save for later.
Just make sure to use the same device and browser (like mobile and Chrome). To protect your privacy, you must start and complete your survey using the same device and browser.
Can I go back and edit my answers?
If you've received a unique survey link by email or SMS, the answer is yes. You can go back and edit your answers.
Your unique link allows you to re-enter the survey and edit your answers at any time during the survey period. However, once you submit your survey, you will no longer be able to edit your answers.
Just make sure to use the same device and browser (like mobile and Chrome). To protect your privacy, you must start and complete your survey using the same device and browser.
Can I get a copy of my answers?
This will depend on the survey settings, these are set by your survey administrator. If they allow participants to export their answers and you're not taking the survey by kiosk, you'll have the option to email them to yourself when you complete the survey. Don't worry, providing your email address here won't link your answers back to you.
When your email arrives, make sure to download the PDF of your answers within 7 days. The download link will expire after this time.
Unique links and passcodes
Can I share my survey link or passcode with others?
No. If you have received an email or SMS from AskYourTeam inviting you to take a survey, you must not share the link inside it. This survey link is unique to you and is used to inform reporting.
The same rule applies to passcodes. Your passcode is also unique to you.
Don’t worry. Although survey links sent by AskYourTeam or passcodes are unique, they are not used to identify you or your answers.
What happens if I accidentally share my survey link?
Your survey link can only be used once. If you share your unique survey link it could mean:
You won't be able to take the survey: If someone else completes the survey using your link, it means you can’t use it.
Your organisation might miss feedback: If you complete your survey and then share your link with others, they can't use it. If participants can’t easily access a survey link, they might give up trying to provide feedback.
I have a unique link or passcode to access the survey. Can this be used to identify my answers?
No. Your unique link or passcode is only used to:
Check if someone has completed the survey yet. If not, we can send an automated reminder to complete the survey.
Calculate participation rates. This helps the organisation running the survey understand how successful it was.
Reset survey answers. This might be done if someone wants to change their answers after they've submitted their survey. This action will wipe their existing answers and allow them to take the survey again.
Protect survey data: Unique links and passcodes prevent people taking a survey multiple times to influence results.
How do I use my passcode?
Your passcode allows you to access the survey. To get started, you must go to the AskYourTeam website and log in. You can do this by:
selecting the link https://app.askyourteam.com/login or
scanning a QR if your organisation has provided one.
Once you arrive at the log in screen, enter your 12-digit passcode and select Log in. Follow the instructions on the page to start the survey.
Does my unique survey link or passcode expire?
Yes. Unique survey links and passcodes will expire when you complete the survey. If you don't complete the survey, the link expires when the survey reaches its end date.
Survey communications
Why do I receive reminders if the survey is confidential?
If you've received an invitation to the survey, it contains a unique link. This link records if you have accessed or completed the survey. We use this information to help us calculate a participation rate and to send automated reminders to those who have not yet completed the survey.
The unique link can't be used to see your actual survey answers.
I want to stop receiving survey invitations. How do I unsubscribe?
If you are an employee receiving survey invitations, please speak with your manager or the survey administrator in your organisation.
For all other survey participants, please follow these instructions:
To unsubscribe from:
Email invitations: Select the Unsubscribe link at the bottom of your email invitation.
SMS: Email support@askyourteam.com with your mobile number and the name of who sent you the survey. We will then unsubscribe you.
Survey results
Who sees the survey results?
The survey administrator in your organisation controls who can see the survey results.
People who usually see the results, include:
HR Managers
Customer Managers
Team Leaders
Senior Leaders
AskYourTeam Customer Success Representatives (to support your organisation as needed).
If you're an employee, your organisation may also choose to share a high level summary of survey results with all staff.
What are the results used for?
Feedback is usually collected to help organisations understand what they're doing well and what needs improvement. By giving customers, workers, patients, members or volunteers an opportunity to share their thoughts and experiences, organisations can feel more confident in the decisions they make and the impact they'll have.
For specific information on what your results will be used for, we recommend checking the survey welcome page, invitation email or any pre-survey communications you received. If you have any questions, make sure to contact your survey administrator.
When will we get the results?
When you get survey results depends on the survey administrator and the topic of the survey. We generally recommend that survey administrators share high level results within a week or two of the survey closing.
More detailed team results should then made available to managers across the organisation, and shared with you at a time that best suits your team.
