Types of survey communications

When you create a survey, you'll get access to a series of communications that can be used to support survey-taking. You'll be shown these in Step 6 of the create survey flow.

There are six types of communication:

  • Welcome message

  • Thank you message

  • Email invitation

  • SMS invitation

  • Passcode invitation

  • Reminder message (if you turn on this option)

Welcome message

A personalised survey welcome message provides useful background information to the participant as to the purpose of the survey. This is usually written by the CEO / GM / Owner and is a brief introduction to the survey and there may be some specific information the organisation would like the participants to know so here is a great place to put this information. A well-written introduction will encourage participation. If you have your logo set under Organisation settings, this will appear on your survey welcome page.

The introduction message should not be too long. We recommend you include:

  • The purpose of the survey

  • Time frames (start/end dates and time)

  • When results will be shared

  • Commitment to retesting and continual improvement

  • Personal message encouraging staff to take part

Thank you message

The Thank you message will appear once the participant has submitted their survey, this allows you to enter a customised message to thank the participants for completing the survey. 

If you would like to revert back to the default email invitation, click Default Message.

Email and SMS invitation

Email invitation

The email invitation is the participant's first interaction with the survey so we recommend you personalise this message with a brief message about why you are asking for their feedback.

The link for the survey will automatically be included at the bottom of the invitation email.

SMS invitation

The SMS message cannot be edited. Your organisation name, survey name and participant urls will be populated automatically within the message.

Passcode message

If you have participants that will be taking the survey using a passcode, you are able to generate a passcode slip that contain instructions on how to take the survey, their passcode and a message about the survey (similar to the email invitation). 

You are able to personalise the passcode slip message by editing this field. To see an example of the passcode slip, check out the Passcodes article.

If you would like to revert back to the default email invitation, click Default Message.

Reminders

If you would like to send automated reminders to participants who have yet to complete the survey, select yes to Would you like to send a reminder?

You will then be able to set one or two reminder dates/times and personalise the reminder message if you would like.

To send additional reminders to the two automated ones set in the Communications section, navigate to the Participant Status page and click the button 'Send Reminder to all'. This will send a reminder email to those who have not yet completed the survey.
